The staff members, and possibly volunteers, given access to each workflow are based on job assignment. The two primary considerations are campus assignment and ministry area. In addition to that, access is given to managers and leadership for the purpose of oversight.
When you are working the steps of a workflow and reach a point where you realize the workflow needs to be reassigned to someone else, you search for that person using their name, but you get the message: "This workflow is not shared with anyone matching that name."
Before you submit a ticket saying a certain staff member needs to be added to your workflow so you can reassign your workflow to him you need to consider:
- Is the workflow for the campus to which the staff member is assigned. This workflow is a Bee Ridge Connect New Decision workflow. Are you reassigning because the person does not attend your campus and you need to move it to a different campus staff member? We do not reassign a Bee Ridge workflow to a Lakewood Ranch staff member - that is confusing for the staff member and it leaves a confusing path on the individual's history.
The support ticket request should say that Anne Teahan does not attend Bee Ridge campus. Please reassign her to a Lakewood Ranch Connect New Decision workflow instead.
NOTE: The workflow and the individual should be named in the request. - Is the workflow for the ministry area to which the staff member is assigned? A request to reassign a Lakewood Ranch Hospitality workflow to Cherie Meadows in Kids because the person wants to serve in Kids rather than hospitality, is not a valid request. The workflow steps for hospitality are not the same steps as the workflow for Kids. It would be confusing to a Kids staff member to have a hospitality workflow, and it would be confusing on the individual's history to have a hospitality workflow when the person is serving in Kids.
The support ticket should say that <person> is not interested in serving in Hospitality after all, but needs to be in a Kids onboarding workflow instead. - There are sometimes cases where a workflow needs to be reassigned to another person at the campus named or even to someone in Ministry Resourcing and that staff member is not available for reassignment.
Submit a support ticket naming the workflow you are working, the individual in the workflow, and the name of the staff member to whom it needs to be reassigned. Give a brief explanation for why the reassignment needs to happen. In this case the staff member will be added to the workflow list for future reassignment.
